2 processing frame

2.1 Purpose and scope of processing

We make use of the opportunity to hold digital events and trade fairs in order to be able to provide our customers with information even under pandemic conditions.

For this we use the offer of other providers, which we have carefully selected.

If we want to record our digital events, we will inform you transparently in advance and ask for your consent.

Any tracking options are deactivated.

Automated decision-making i. S. d. Art. 22 GDPR is not used.

2.2 Types of data and categories of data subjects

Various types of data are processed as part of the event and event planning. The scope of the data also depends on the data you provide to us before or when you participate in our digital event & trade fair.

When actively using such offers, data of the communication participants are processed and stored on the servers of the third-party providers used, insofar as the data is required for the communication process. Usage and metadata can also be processed.

Relevant personal data categories / types can in particular be:

Customers & leads of KUMAVISION, thus participants in the respective online offer (digital event & trade fair)

Master data (surname, first name and company), possibly contact details (email address)

Content data (e.g. text input in the digital meeting room)

Meta and communication data (e.g. device information, IP addresses)

Usage and metadata:

Date, time, meeting ID, phone numbers, location

Text, audio and video data based on your consent

You may have the option of using the chat, question or survey functions as part of our digital event. In this respect, the text entries you make are processed in order to display them in the meeting room and, if necessary, to record them. In order to enable the display of video and the playback of audio, the data from the microphone of your terminal device and any video camera on the terminal device are processed accordingly for the duration of the meeting. You can switch off or mute the camera or microphone yourself at any time using the online meeting tool application.

In order to take part in an online meeting, you must at least provide information about your name.

2.3 Legal basis for data processing

The legal basis for the underlying data processing is our legitimate interest in accordance with Art. 6 Para. 1 lit.f) GDPR. Our legitimate interest lies in simplifying communication with external parties, deepening customer loyalty, acquiring new customers and, in particular, promoting cross-company or cross-location cooperation.

Insofar as our digital events are carried out in the context of contractual relationships or initiations, the legal basis for data processing is Art. 6 Para. 1 lit. b) GDPR.

In some cases, we also process data on the basis of consent in accordance with Art. 6 Para. 1 lit. a) GDPR. This happens in particular if the data subject initiates the use of our offer or if they voluntarily provide us with data that is not required for participation in our digital event (so-called optional information).

2.4 Recipients and disclosure of data

2.4.1 Planning and implementation

We use the offer of EXPO-IP GmbH for the planning and realization of our events.

EXPO-IP GmbH is a provider based in Germany.

2.4.2 Lectures and dialogues

We use the service of Microsoft Teams for our lectures and dialogues.

Teams is a service from Microsoft Corporation, USA. The Microsoft Teams data protection information can be found here: Microsoft-Support-and-Privacy-Policy.

Please note: As soon as you access the Microsoft Teams website, the Microsoft Teams provider is responsible for data processing.

2.5 Recipient overview

In addition, personal data will not be passed on to third parties. Insofar as we commission service providers in the context of order processing, your data is subject to the same security standards as ours. In all other cases, the recipients may only use the data for the purposes for which they were transmitted.

2.6 Storage of the data

We generally delete personal data if there is no need for further storage. A requirement can exist in particular if the data is still required to fulfill contractual services, to check warranty and, if applicable, guarantee claims and to be able to grant or defend them.

In the case of statutory retention requirements, deletion can only be considered after the respective retention obligation has expired.
